A clean loadout begins with a clear design. Before a Christmas lighting crew heads to a property, every item on the truck should have a purpose tied to the approved scope. Use this checklist to turn the customer conversation into a materials plan your crew can follow.
1. Start with the approved design
Identify the areas included in the job: rooflines, entryways, trees, greenery or a commercial entrance. Record the chosen colors and any display pattern. Keep customer requests and exclusions with the job notes so the materials list matches what was actually approved.
2. Build the list by display area
Break the job into sections rather than one large total. For each section, note the measured run or area, the selected lighting product, the attachment method and the connection points. Include bulbs, socket wire or complete strings, compatible clips, extension cords, connectors and timers where specified.
3. Check compatibility before ordering
Similar-looking lighting components can belong to different systems. Read each product listing and manufacturer instructions. Confirm the socket or base type, wire classification, spacing, connector style and intended use. Product ratings and instructions control the installation; a shopping checklist does not replace them.
4. Count the finishing details
Small items deserve their own lines: labels, storage containers and the accessories needed to finish the planned display. Keep any spare materials separate from the quantities assigned to the approved work, and record why each spare is included.
5. Stage and review the loadout
Group materials by job and display area. Compare the staged items against the checklist before loading. Note shortages or substitutions before the crew leaves, and confirm any change with the person responsible for the job. Keep the final checklist available with the job notes for installation and later takedown.
