Start with the customer's priorities
A holiday design is easier to execute when the job record explains what matters most to the customer. Ask which areas they want to see after dark and which colors feel like Christmas to them. Record the answers before the materials list is finalized.
Describe the display by area
Use a separate line for each roofline, entry, tree or greenery feature. Note the selected color or pattern and the areas that are excluded. Keep the approved version with the job so a crew does not have to reconstruct the conversation from memory.
Separate inspiration from approved work
An inspiration image can start a useful conversation, but it may show details that are not part of the proposal. Explain which elements are included. When the design changes, record the change and its approval before assigning additional materials or work.
Make the handoff easy to read
A useful handoff includes the property reference, display areas, chosen product families, color choices and open questions. Avoid vague notes such as 'make it look good.' Add the information someone needs to check the materials and understand the customer's priorities.
Keep a final review
Before the job proceeds, compare the design notes with the proposal and materials checklist. Resolve differences with the person responsible for the job. The same notes can help with service questions and takedown planning later in the season.
